It’s September and back-to-school fever has hit the On-Boarding desk hard as my calendar is being flooded with appointments. It just seems natural as the kids are heading back to school that the rest of us decide to buckle down and take the time to really get organized.
Our On-Boarding program gives me the opportunity to talk with customers, listen to their needs and do a fair amount of problem-solving. I’ve been helping customers for over two years now and I find there are a few tips that I’m always giving out to those who are just getting started with BatchBook. I thought I’d share them here to make it easier for other new customers to start using BatchBook.
1) Download the Import Template. Importing is probably the first step you will take when setting up your new BatchBook account. We provide a BatchBook Import Template to help make this process as easy as possible. You’ll find the Import Template in the right-hand column of your Contacts tab page within BatchBook. Simply download the template to your desktop, fill it in and import away.
If you need to import data that does not fit under our template headers, you can do that, too. First, create custom fields (or as we call them, SuperTags) for your specific information. Once your SuperTags are created, download the template. You’ll now see columns for your SuperTag data. View a screencast. (Note that if you have created a multiple choice field type for your SuperTag, the data you are importing has to be an exact match or you will get an error. 2) Take a tour of our SuperTag Library. BatchBook is all about customization, but where do you start when thinking about creating your own, unique SuperTags? Answer: the SuperTag library on the Tags & SuperTags tab! We’ve also compiled some industry specific examples for you (Marketing, Real Estate, Design, Social Media) Give them a look; perhaps you can use them or maybe they will inspire you to create some of your own. You can edit or delete your tags or SuperTags at any time on your Tags & SuperTags tab.

My favorite small business has to be Allie’s Donuts in North Kingstown, RI. They’re famous among Rhode Islanders not
only for their amazing donuts but also for the phenomenon known as the donut cake. For us donut lovers, the cake is pure heaven! It is one giant donut formed into whatever shape you can dream up gloriously frosted and covered in sprinkles (or as we say here in RI – jimmies). I was first introduced to the donut cake by my mother-in-law Judy. She got my husband & me a bride and groom cake for our first wedding anniversary. It was quite a sight!
Here at BatchBlue, we’re huge fans of the donut cake and order one every chance we get. Allie’s has customer service that rivals BatchBlue’s own; they have never turned down a last minute order for a shark, bird, “Rock On” hand or bunny cake. If you follow us on twitter, you may have seen a recent tweet about it!
So the next time you’re in North Kingstown RI, stop in at Allie’s and be sure to think of us as you enjoy that scrumptious donut!

Just a quick announcement from the On-Boarding deck:
Since the launch of our New Customer On-Boarding program, we’ve helped countless customers get their BatchBook account up and running in no time;but now we want to help even more. How is that possible, you ask? By offering free, information packed webinars to all customers.
Our first webinar is called “Using BatchBook for Fun and Profit”. It will cover all of the basics that you need to know in order to have a fun and productive BatchBook experience, which in turn means a fun and productive business! The webinar will be on January 30th at 2pm EST. It should run about 45 minutes, with a 15 minute question and answer session at the end.

Hello-my name is Stephanie Sweeney and I work in Customer Service here at BatchBlue. My job involves helping people use BatchBook to organize their small business, making their lives easier. So why not start close to home?
My brother Brian is a talented musician who just happens to be a small business owner. He is the President of the Potter-Rathbun Organ Company in Cranston, RI. The company specializes in the restoration, tuning and maintenance of pipe organs. They have clients all over New England as well as New York and New Jersey. Like most small business owners, Brian wears many hats. He personally answers all telephone inquiries and emails, responds to emergency calls and takes part in the weekly tuning schedule as well as going on tuning “road trips” which usually last one week. Brian is also responsible for drafting all proposals and service contracts. On Friday, Brian and his wife Heather-Rose (who also has a full-time job) try to catch up on day-to-day office duties and scheduling.
I was helping out in the Potter-Rathbun office when I became a member of the BatchBlue staff. I was very excited to put BatchBook to work for the organ company. After all, pipe organ maintenance is quite a unique field. The best thing about BatchBook is the ability to make it your own. By tagging all of their contacts with customer specific information Brian and Heather-Rose can easily create tuning schedules based on the area (local versus out of town) and time of year (tuning just in time for Christmas Eve mass!). And the new lists functionality enables them to quickly generate a list of mailing labels for weekly appointment cards, instead of hand writing them!
While Brian is on the road, he can log into BatchBook anytime and get scheduling information that was previously only on Heather-Rose’s computer. He is able to quickly show his employees the location of their next tuning visit using the Google maps feature. At conferences, he can quickly add a new contact with custom fields such as: which organ they built, which supply company they use and what’s their best organ joke. Because, believe me, there are plenty of organ jokes!
